Effective: July 2026 · ULTRA school private limited
Attendance & Leave Policy
Effective Date: 17 June 2026
Applicable to: All students (ages 3-8), parents/guardians, staff, and visitors of Ultra
1. Purpose
This Policy sets out attendance, leave, and drop-off/pick-up rules at Ultra (“the School”) for students aged 3–8 years.
2. School Timings
School hours, gate-opening and gate-closing times, and the late-arrival cut-off are communicated to Parents at the start of each academic year and displayed at the School entrance.
3. Attendance Expectations
- Regular attendance supports a young child's routine, learning, and social development; Parents are encouraged to minimize avoidable absences.
- Attendance is recorded daily for every class.
- A child arriving after the gate-closing time may be marked late and, in some cases, asked to join after the morning settling-in routine to avoid disrupting the class.
4. Applying for Leave
- Planned leave (vacation, family function, etc.) should be informed in writing/app at least 2 days in advance where possible.
- Leave due to illness should be informed by phone or app message before School start time on the day of absence.
- Leave for more than 3 consecutive days should be supported by a written note, and a doctor's note is required for contagious illnesses before the child returns.
- Extended leave (more than 2 weeks) should be discussed with the Class Teacher/Principal in advance to plan continuity of learning.
5. Drop-off & Pick-up
- Children must be dropped off and collected only by Parents or persons specifically named and authorized in writing on the admission form.
- Authorized persons unfamiliar to staff must show photo identification at pick-up.
- Any change to the authorized pick-up list must be communicated in writing in advance; verbal/last-minute phone requests for an unlisted person to collect the child will not be accepted without secondary verification (e.g., a callback to the registered Parent number).
- If a child is not collected by the closing time and the School is unable to reach the Parent or emergency contacts, the School will follow its emergency contact escalation procedure and, if necessary, inform local authorities for the child's safety.
6. School Transport (if availed)
Where School transport is used, a separate attendant/escort accompanies young children, and pick-up/drop-off occurs only at the registered address unless the School is notified in writing in advance of a change.
7. Punctuality & Repeated Absence
Repeated unexplained absences or late arrivals will be discussed with the Parent by the Class Teacher to understand and address any underlying issue, in the best interest of the child's development.
